Summary:PT Tri Sapta Jaya as a pharmaceutical wholesaler under Kalbe Group is responsible to distribute pharmaceutical goods to pharmaceutical service facilities. In the past year, Tri Sapta Jaya Bandung often experienced inventory stock out so order from customer was often rejected. Percentage of rejected order in Tri Sapta Jaya Bandung was increasing every month. Through this final project, the author has objectives to find root causes of inventory stock out in Tri Sapta Jaya Bandung and offer the solution to minimize percentage of rejected order. There were three things caused inventory stock out in Tri Sapta Jaya Bandung. First is incomplete feature in the Existing and Oracle EBS system they used. Both systems did not have sales forecast feature so sales coordinator should export data from system and calculated future demand in Microsoft Excel. As a result, miscalculation was done in Microsoft Excel and resulting miscalculation of monthly needs. Second is unreliable sales forecast method used by Tri Sapta Jaya (three months simple moving average) which resulted more than 10% error and affected the procurement decision. Third is asynchronization of procurement SOP in branch office and head quarter. SOP in head quarter mentioned safety stock and reorder point as consideration in deciding needs. While branch office used days of inventory to calculate monthly needs. Unavailability of safety stock in branch office made Tri Sapta Jaya Bandung had no prevention of stock out condition. To solve incomplete feature in system, the author offered to change new system, upgrade Oracle EBS, install separated sales forecast software or keep using Microsoft Excel with addition develop SOP and template and organize staff training. To solve unreliable sales forecast method, the author offered five methods, namely simple moving average (with other than using three months data), weighted moving average, exponential smoothing, exponential smoothing with trend and linear regression to find method with the lowest MAD and MAPE. Each item in the certain period may use different method. To solve asynchronization of procurement SOP, the author offered to develop new SOP that include safety stock, reorder point and EOQ. Discussed with finance and accounting manager of Tri Sapta Jaya, alternative solution to upgrade Oracle EBS, change sales forecast method and develop new SOP that include safety stock, reorder point and EOQ were chosen. All those solutions were expected to be implemented at the beginning of 2020.
