Summary:PT X is a sheet metal manufacturing company that processes orders through insourcing and outsourcing. PT X utilizes sales orders (SO) as documents containing order information. During production, response times to customers are often delayed due to manual data verification. This is caused by incomplete data available to the chatbot and the absence of a platform for configuring customer and subcontractor contact information. This research aims to identify the requirements for a chatbot management information system, propose business process improvements for PT X, and design a chatbot management information system tailored to the needs of PT X. The chatbot management information system is designed using the Framework for the Application of System Thinking (FAST) methodology, which comprises eight stages: scope definition, problem analysis, requirement analysis, logical design, decision analysis, physical design and integration, construction and testing, and installation and delivery. However, this research does not cover the installation and delivery stage. The research outcomes indicate that the proposed chatbot management information system enhances the effectiveness of the existing chatbot system. The chatbot management system can be utilized to store order data and manage contact information for notification recipients (customers and subcontractors). The designed information system has been verified against the functional and non- functional requirements and validated against the proposed business processes to be implemented by PT X. Furthermore, several analyses of the designed information system solution were conducted, including the system’s strengths and weaknesses, the use of modern technology, and managerial implications. Consequently, the designed chatbot management information system is deemed capable of addressing the issues faced by PT X.
