In this action research paper, the aim is to improve the two key performance indicators of Reporting Shared Services (RSS) Team of ABC Company, namely: capacity utilization target and shrinkage %. This problem has been preventing the RSS leadership team to acquire new resources and sustain the productivity of existing resources. The team used the 5 Whys Analysis Framework and Results Based Management Framework to determine the root cause of the problem namely the absence of a systematic approach in inputting data entries in the productivity tool for RSS employees. Collaboration with the Leadership Team and team members through team meetings, interviews, emails, charts and detailed reports were accomplished to support the four steps of the action research cycle, namely: constructing, planning action, taking action and evaluating action. Upon completion of the action research, the team decided to create a taxonomy of activities to be able to reflect the productive use of time among RSS employees of ABC Company. Communication was rolled out through each team's meetings, then inputs and comments were gathered. The final criteria for each tagging categorization have been rolled out to the team after all queries from the entire team have been addressed. This has built a more collaborative relationship with all team members through the action research cycle as the team's two key performance indicators have greatly improved and were met after the intervention.
