Summary:This action research address URBN Design Studios focal issues concerning the lack of filing and records management system on which employees follow for the recording, keeping and filing of documents. This was manifested by unorganized and scattered files, documents and records. The objectives of this paper are to improve the filing and records management by establishing records management policy, processes and procedures; to familiarize company personnel with the construction projects; improve the monitoring of records and to gain knowledge in record keeping. In order to resolve the issue, I collaborated with the Owner, Project Architect and Administrative Assistant to improve our record keeping. We used theories and frameworks obtained from scholarly journals. The Hiranos 5S Concept was used to create strong workplace commitment while establishing record management policy. We also used the Poka-Yoke method to help us simplify and improve record keeping. Moreover, the continuous improvement PDCA cycle was use along with the Poka-Yoke to help us define, implement and control corrective actions and improvements in data recording. Likewise, Kurt Lewins change management model was used as a guide to implement desired changes in our organization. This action research allowed me to value my profession more and I was able to develop my leadership and communication skills.
