Summary: | As the creation of infinite amounts of physical and electronic information continues to increase and regulatory laws and policies consistently evolve, the need for record management becomes essential in every organization. Although its importance is not a new phenomenon, the increased focus on the record management process was brought about due to the effects of COVID19. Several organizations encountered major struggles to keep their records intact during the pandemic. And as we move on to a post-pandemic era, challenges still await on how we shall adjust our processes with the modern ways of working to continue to thrive in the future.
The purpose of this action research is to improve the record management process of the MullenLowe Treyna Finance Team. Guided by the 5S of Lean Framework, Lewin’s Change Management Model, and the different methods of inquiry, this action research has successfully identified the causes and implemented the appropriate interventions to address the team’s poorly controlled record management. By doing so, the team’s past records were organized, and a more effective and sustainable record management process was established to adapt to the company’s current hybrid work setup. Moreover, improved efficiency, business performance, and employee motivation were translated within the team’s operations.
The first cycle of this action research focused on the Finance Team’s digital records, while the second cycle concentrated on managing the team’s paper documents. Overall, this elaborated the stories of the researchers’ experiences, challenges, reflections, and methods on how the different tools were utilized. |
