Summary: | Industrial Engineering and Engineering Management are two bachelor's degree
programs at Bandung Institute of Technology that develop information systems
independently to support academic activities. One of the information systems used
by the program is the Practical Work Information System that underwent a major
upgrade with unstructured system transition. This led to dissatisfaction among
students due to insufficient relevant information and guidance. Therefore, a change
management plan is needed to help ensure a smooth transition. The change
management plan is structured in the form of Standard Operating Procedure (SOP)
so that it can be implemented across all information systems of IT and EM study
program. In this study, the change management plan is implemented for the
Assessment System, which is currently under development. Assessment System is an
information system designed to assist in assessing student learning outcomes.
The development of the change management SOP is carried out by identifying
the business processes or activities of change management by integrating Prosci
3-Phase, SRC, and ACMP models. Subsequently, stakeholders are identified,
and the business processes are mapped using BPMN diagram. Then, a draft
SOP is created with procedures depicted using CFD. The draft SOP is validated
and applied to Assessment System as a pilot study.
The identified change management activities consist of 3 phases, 10 processes,
and 21 activities. The proposed draft SOP on change management includes 11
stages for the preparation phase, 5 stages for the implementation phase, and 5
stages for the reinforcement phase. The implementation of the draft on the
Assessment System resulted in a limited sample of change management
execution documentation, along with revisions to the draft SOP.
