This Action Research paper aimed to address issues that impedes the total facilities management of an institution. Using Goldratt’s (1990) Theory of Constraints (TOC) in identifying the processes that are constraining the manufacturing system, we were able to recognize the focal issue which was the lack of system and control in maintaining the facilities of Blessed Christian School de Sta. Rosa, Inc. We adopted the Lean Sig Sigma model to better define, quantify and analyze problems. Then we eventually formulated solutions to improve, take control and sustain the Facilities Management with the integration of 5S methodology as well as utilizing technology. Furthermore, Lewin’s (1940) Change Management Model was applied in recognizing the need for change and the steps in preparing for what is coming. In addition, we have planned to manage the transition in order not to cause unnecessary turmoil and chaos. In conducting this project, the researcher together with the collaborators followed the process on the action research cycle by Coghlan and Brannick (2014) which includes four basic steps: constructing, planning action, taking action and evaluating action. Two cycles were enacted as required to have had a ranked of improvement in the management process. The joint construction of the issue and planning of the action led to the agreed upon intervention of recruiting a new Facilities Manager that would be in charge of implementing and monitoring new system in maintaining the facilities. As a result, with the right amount of efforts and tools such as 5S frameworks along with technology, a structured system enables the management to effectively improve the facilities maintenance process.
