Summary:This study was initiated to help solve the problem of rising number of data anomalies in the Human Resource Information systems of our HR Shared Services Company - that is, the HR shared services of a multinational energy firm. As a Business Analyst under the HR Data Quality team wherein our task is to ensure completeness and accuracy of HR data in the system, we realized – through repeated queries from the Data Coordinators about proper data maintenance in the HR information system – that the existing Business Rules document does not fully meet the requirements needed for it to be fully consumed and utilized by the Data Coordinators in their day-to-day operations. Thus, to address this, our objective is to update the Business Rules document by adding a Business glossary that would support the knowledge needed by the users of the document. Our interventions were guided using the Data Quality framework of Wang & Strong (1996) and the Knowledge Management conceptual framework of Oluic Vukovic (2000). This action research took two (2) cycles to fully enhance the Business Rules document and to help the Data Coordinators in maintaining quality data in the HR system. I used several action research tools such as the 3 Types of Inquiry, the ORJI, and Ladder of Inference to gather data and to collaborate with my team for our action plans. The following are the specific interventions in relation to our HR information systems: (1) updating the business term definitions, (2) providing visual tools through snapshots of HR data fields as to how they should appear in the system, and (3) transferring the document to a more accessible site. These actions resulted in a robust Business Rules document which is clearer and more understandable for the Data Coordinators. It consequently improved the quality of data being maintained in our global HR information systems.
